- names and contact details of gymnasts and parents/carers;
- date of birth and age of gymnasts;
- emergency contact information;
- information provided through enquiries, trial or booking forms;
- relevant health, medical, disability or additional needs information;
- gymnastics experience, training and competition information;
- attendance records;
- membership and registration information;
- payment, invoice and transaction information;
- photographs and video recordings;
- accident and incident records;
- safeguarding, welfare, complaints and disciplinary records;
- communications with you; and
- any other information reasonably required to provide our services, administer the club or protect the welfare and safety of our members.
We normally obtain this information directly from you or your parent/carer. We may also receive relevant information from British Gymnastics, coaches, competition organisers, safeguarding authorities or other appropriate organisations where necessary.
2. WHY WE USE YOUR INFORMATION
We use personal information where necessary to operate and administer the club, including to:
- respond to enquiries and arrange trial sessions;
- register and manage gymnasts’ participation in the club;
- organise training, competitions, events and other club activities;
- communicate with gymnasts and parents/carers;
- manage memberships, fees, invoices and payments;
- maintain attendance and emergency contact information;
- support the health, safety and welfare of gymnasts;
- respond to accidents, incidents, complaints or safeguarding concerns;
- comply with British Gymnastics requirements;
- meet our legal, regulatory, insurance and safeguarding obligations;
- manage and improve the operation of the club; and
- establish, exercise or defend legal claims where necessary.
We only use personal information where we have a lawful basis to do so.

4. BRITISH GYMNASTICS
LGSE is a British Gymnastics registered club. Individuals participating in gymnastics through the club may be required to hold the appropriate British Gymnastics membership in accordance with current British Gymnastics membership requirements.
Where necessary, relevant personal information may be shared with or verified through British Gymnastics for purposes including membership, registration, insurance, competitions, qualifications, safeguarding and other activities connected with participation in gymnastics.
British Gymnastics processes personal information in accordance with its own privacy notices and data protection responsibilities.
5. PHOTOGRAPHS, VIDEO AND SOCIAL MEDIA
LGSE may take photographs or video recordings during training sessions, competitions, displays and other club activities.
Images and videos may be used for legitimate club purposes, including coaching, club communications, the LGSE website and social media, subject to applicable consent requirements and club procedures.
Where consent is relied upon, it may be withdrawn at any time by contacting us. Withdrawal of consent will not affect any processing that took place before consent was withdrawn.
We will take reasonable steps to respect requests from parents/carers who do not wish their child to appear in photographs or videos used for promotional purposes.
6. OUR WEBSITE AND ONLINE SERVICES
When you complete an enquiry, trial or booking form through our website, we collect the information you provide in order to respond to your enquiry, arrange a trial session and, where applicable, manage participation in the club.
Information submitted through our website may be transmitted to and stored within the club’s email, website and administrative systems and will only be accessed by authorised persons where necessary.
Our website may use cookies and similar technologies necessary for its operation, security and functionality. We may also use third-party services in connection with our website, such as embedded maps, website analytics or other technical services.
Where required by law, non-essential cookies or similar technologies will only be used in accordance with applicable consent requirements.
7. WHO WE MAY SHARE INFORMATION WITH
We do not sell personal information.
Where necessary and appropriate, we may share relevant personal information with:
- British Gymnastics;
- coaches, club officials and authorised volunteers;
- competition and event organisers;
